Planning notes for the SC09 Community Group

Group Members: Broadening Engagement (Tiki Suarez-Brown), Student Volunteers (Paul Fussell), Education Program (Charlie Peck), Sustainability (Brent Gorda), Community (Cherri Pancake)

Next meeting - Wednesday August 6th at 4:30p PDT at the Hilton in Portland

Things to do

  • Organize a presentation for the steering committee
    • what are we doing and why are we doing it
    • what's gained/saved/enhanced by it within Community, what are the larger effects of it
    • what will we need to do it
  • Think about other ways we can collaborate

General themes

  • "The whole is greater than the sum of our parts" (our tag line for the committee...)
  • Make it easy for participants from each of the the areas to participate in events/presentations of the other areas
  • Hold joint events whenever beneficial and practical
  • Look for ways to be creative and extend our reach as a result of collaborations

Events at the conference we think we can jointly plan and host

  • Job fair - Tuesday evening starting around 5/6p? With food and speakers from industry, labs, etc.
  • Poster session - Sunday evening starting around 5p, with food
  • Meals

Ideas we're considering

  • Joint food for Education Program (through Tuesday), Student Volunteers (through Friday), possibly Broader Engagement too
  • Virtual resume wall for all Community participants, organized by educational level, job board too? Consider notion of speed dating for a lunch.
  • What can we do with Sustainability? Visualize real-time power consumption and production data?
  • Organize schedule of show floor tours - contact vendors and lab representatives in advance
  • Space
    • Booths near/adjacent to each other
    • Education Program and Student Volunteers both need office space
    • BE needs central consistent space for specific opportunities and program
    • Education needs lots of presentation spaces
    • This may require some flexibility/creativity on our part depending on the convention center layout

Inter-group marketing/outreach opportunities

  • Broader Engagement's mentorship program
  • Broader Engagement's Job Fair
  • Steering Committee's PhD fellowship program
  • Education Program sessions at the conference (Saturday through Tuesday)
  • Education Program summer workshops
  • Encourage Cluster Challenge students to participate in our events, are there any other student groups we should include?
  • Facebook group for all Community participants, tagged with which group brought them here? (Keep some identity, maybe additive over time)
  • Education Program award programs

Events that happen outside of the conference

  • BE and Education Program joint workshop in southeast during summer 09

Things to consider changing

  • Remove due-date requirement for hotel reservation to occupant mapping
  • Move Education Program's keynote to Sunday and combining with Broadening Engagement, invite Student Volunteers too but it won't replace their orientation.
  • Leverage additional resources as a unified "SC Communities" front

Oregon Convention Center

  • SC Community would use Lobby B and Lobby C, the Education Program booth would be to the left of Starbucks where the non-existent Food Court is shown along the curved wall. The Cluster Challenge would be along the walls outside of Lobby A/B/C.
